Educational institutions needed new mobile-first portals for students, better tools for trainers to manage classes, systems that aligned with compliance requirements, and platforms that kept employers informed about their staff's study progress.

Educational institutions needed new mobile-first portals for students, better tools for trainers to manage classes, systems that aligned with compliance requirements, and platforms that kept employers informed about their staff's study progress.

Significant client interest at sales and marketing events

TAFEs and universities have powerful but complex systems tailored for administrators. Educators with specific attendance and study progress needs often rely on workarounds, as existing tools aren't designed to support their primary tasks.

Trainers had to switch between a makeshift portal that only displayed their schedule and the core system to mark attendance and access student information. Additionally, the attendance functionality didn't align with standard operational structures or meet various compliance and reporting requirements related to attendance and grading records.

At ReadyTech, I worked on the Student Management System (SMS), a powerful yet complex product that serves as the backbone of educational institutions, managing students' entire educational lifecycles. The portals draw data from the SMS and present it in a way that enables key user groups to perform their tasks, complete actions, or stay informed and prepared for their next responsibility.

Like the SMS, our portal solutions were developed ad hoc based on client requirements, with design considerations often made during coding. This approach led to portals that didn't fully meet the modern needs of trainers in large-scale adult education institutions.

By engaging with three large enterprise TAFEs, multiple smaller Registered Training Organisations (RTOs), and participants from various educational sectors, we explored the needs of users and institutions from the perspectives of trainers/educators, students, and employers in the trainee and apprenticeship sector.

Adhering to iterative product development, we quickly established the long-term vision for each portal (Trainer Portal, Student Portal, Employer Portal) and began designing and testing solutions that balanced user needs, feasibility, timelines, and budget.
